How the Intranet Is Becoming the Digital Front Door for AI Adoption

AI adoption depends on more than access to AI. Here’s how the intranet can reduce friction and connect trusted knowledge, AI, and action in the flow of work.

As AI becomes embedded across the digital workplace, the challenge is shifting from giving employees access to making it genuinely useful in their everyday work. That creates an important new role for the intranet.

AI adoption doesn’t end at launch. Employees need ongoing communication, clear guardrails, and practical examples that help them understand where AI fits into the way they work.  

But there’s another side to the adoption challenge. Even when employees understand why they should use AI, they still need to know where and how to access it, and that’s becoming increasingly complicated.  

AI is appearing everywhere, from productivity suites and HR systems to IT platforms, search experiences, collaboration tools, and standalone assistants. Add those to an already fragmented digital workplace and there’s a real danger that AI creates more friction rather than removing it.    

The next phase of AI adoption isn’t simply about giving employees more AI. It’s about creating a better experience around it.

Employees Don’t Need Another Digital Destination 

One statistic from our conversation with Gallagher captures the problem particularly well: 56% of employees say they would use AI more if it were better integrated into their existing workflow.    

That suggests willingness isn’t necessarily the problem. Friction is. Every time an employee has to leave what they’re doing, find another application, work out which AI tool to use, locate the right information, and then return to their original task, you introduce another opportunity for adoption to break down.    

The answer can’t simply be another portal, login, or AI assistant employees need to remember exists. AI needs to become part of an experience employees already understand and trust, making it easier to access intelligence without adding more complexity to the working day. 

The Intranet Is Becoming the Digital Front Door to AI  

For years, the intranet has helped employees understand what’s happening across their organization, find information and policies, and connect with the right people and resources. AI creates an opportunity for that role to evolve significantly.    

Instead of being primarily a destination for information, the intranet can become an intelligent experience layer connecting employees to organizational knowledge, AI capabilities, enterprise tools, and ultimately the actions they need to take.  

That matters because the challenge is increasingly less about access to AI and more about orchestration. Employees shouldn’t have to understand the technology architecture behind their workplace or know whether the answer they need lives in the intranet, Microsoft 365, an HR platform, an IT service, or another enterprise system. Instead, the experience should connect them to the right information and capabilities in a way that feels simple, relevant, and trusted. 

AI Is Only as Useful as the Knowledge Behind It  

There’s another reason the intranet matters in the AI era: trust. Employees can ask a public AI model almost anything, but enterprise questions require enterprise context.    

Questions about parental leave, benefits, equipment requests, internal processes, or how to respond to a particular customer situation need answers grounded in accurate, current, and governed organizational information.    

This gives the intranet an important new role. The content architecture, governance, permissions, audiences, and organizational knowledge that have traditionally powered the employee experience can also provide trusted context for AI. This helps employees get answers that reflect their organization’s actual policies rather than generic information from the wider internet.    

That creates an important distinction between simply giving employees access to an AI tool and giving them an enterprise AI experience they can trust. But trusted knowledge is only part of the opportunity. Once AI can connect employees to the right information, the next step is helping them act on it. 

From Finding Information to Getting Things Done  

More than helping employees understand the action to take, the intranet can drive that action directly.

Think about a typical employee journey today. Someone reads an article about a new benefits policy on the intranet, then leaves to open their HR system, finds the relevant section, locates the right form, completes it, and eventually returns to whatever they were doing before. The information and the action exist in two different worlds.    

AI creates an opportunity to bring those worlds closer together. The employee experience platform can become the layer through which employees not only discover information but act on it, connecting knowledge with workflows across systems such as HR, IT, CRM, and productivity tools.    

That’s the shift from information to action.

The first phase of enterprise AI has largely focused on capability: what can AI do? The next phase needs to focus just as much on experience: how easily can employees actually use it?    

That means reducing context switching, connecting AI to trusted organizational knowledge, bringing fragmented tools and systems into a more coherent experience, and making AI available where employees already go to understand their organization and get work done.    

The intranet has always been a digital front door to the organization. In the AI era, it has the opportunity to become the digital front door to knowledge, intelligence, and action.    

Because the future of AI at work isn’t another tool employees have to learn. It’s AI becoming a seamless part of how work gets done.
