Finding accurate information can be an employee’s most time consuming task and once they have found the content, they have to assume it’s up to date. Without robust document management in place, this can be a near impossible goal. Unily’s document management harnesses the best of Microsoft’s Document Management software SharePoint Online and OneDrive for Business and enhances it with custom experiences to make it easier, faster and smarter. Intelligent tagging, unique refining search and Delve integration makes documents findable, saving your employees' time. Unily Engage users can view essential documents without an Office 365 license, with Unily’s in-built document storage.
The power of Office 365’s document management is woven seamlessly together and enhanced with custom search functionality for a single solution that provides exceptional user experience.
Unily Hub’s document experience has OneDrive and SharePoint Online at its core, allowing you to take advantage of Microsoft Office Online to collaborate on documents, share, and filter searches by location.
A custom document repository and search are used to enhance the Office 365 experience, allowing you to search by content, author, document type, location and date using an intelligent refining search. Documents can also be previewed directly in Unily before being opened.
The documents experience also utilizes Delve to help you discover information that’s likely to be relevant across Office 365, highlighting suggested documents on the homepage and front and centre on the document directory.
The documents experience doesn’t compromise on security, with documents only surfacing for users who have access to the particular site or folder where the information is stored.
Documents can be uploaded straight from the directory to any location you have permission to contribute to. Documents can be intelligently tagged during upload to ensure their findability for colleagues.
For Unily Engage workers who don’t have access to Office 365 tools like OneDrive and SharePoint Online, Unily Documents is available. Essential documents like the staff handbook can be stored directly onto Unily, allowing every user to consume vital information.
Unily would be nothing without its dedicated customer success services to ensure you get the most out of your investment. As part of your subscription, our customer success team work with you pre-launch and after to ensure your document and knowledge management strategy is the best it can be. If your documents are currently stored on SharePoint on-premises or on another platform, our technical team will work with you to sync your content across to Office 365 and Unily or to implement a Hybrid search to surface your on-premises documents in the cloud. We also support with your directory configuration, helping to define your SharePoint site and permission structure, while guiding on how best to structure your taxonomy to enable more efficient searches. Post-launch, we work with your team through any updates to the document directory and support on any queries around how to use the platform best. It is this extensive post-deployment support that makes the difference to adoption .
It’s not just your head office workers who need access to documents, there’s some information that’s essential to all. That’s why Unily allows you to store essential documents directly within the Content Management System, rather than just through OneDrive and SharePoint. This means every user, including those who don’t have access to Office 365, will be able to view the latest employee handbook or health and safety guidelines. With Unily’s Document Preview tool, Unily Hub and Engage users can explore, download and print within the preview, with Unily Hub users able to edit the document through web applications if available.
Unily has two unique licensing models designed to address the needs of your specific worker profiles. Unily Hub is our Office 365 integrated solution for those employees who require full access to collaboration and productivity tools, while Unily Engage is available for users who may not require an Office 365 account, such as those working off-site in a retail store. Unily Hub users will have access to the full functionality set, including integration with Delve, OneDrive for Business and documents as part of SharePoint Online. Unily Engage users will only have permission to read-only documents that are stored directly on Unily’s Content Management System, with no collaboration functionality.
